The goal of this module is to help you manage such a high-level event. This module will help you to ensure a flawless execution of the necessary protocol. Often there is a lot at stake and strengthening relationships is crucial. The conference shouldn’t be distracted by any logistical problems.

The module applies to all high-level conferences, not just ministerial conferences. It provides insights and information for those in charge of organising the conference, as well as for those in charge of managing a delegation attending such a conference.

This module has been developed by our team of leading protocol experts and is based upon years of practical experience. Protocolbureau has managed the protocol at countless high-level conferences; these have been mostly ministerial, along with UN- and EU-conferences, and other conferences organised by, for example, nations or NGO’s.

This module is about protocol management, and discusses the protocol at high-level international (ministerial) conferences. It is not a module about how to manage them in general or about event management. High-level conferences are different from other conferences because of the protocol that applies. For example, seating is often important, along with greeting procedures, flag protocol, photo opportunities, gift giving etc.

In this module we also look at the members of the delegation and the role of the head of the delegation (the highest representative of each delegation). Very often the embassy is involved; we will also explain their role.

This module will cover the following topics:

  • Before the start of the international high-level (ministerial) conference.
  • The protocol at the international high-level (ministerial) conference.
  • The role of the protocol officer when escorting a delegation; the support required by liaison officers.
